Fluent With James (“we”, “us”, “our”) provides personalised 1-on-1 English lessons and an AI-assisted learning space (“Student Space”). This policy explains what we collect, why we collect it, and how you can control your information.

1) Who we are & contact

2) What we collect

• Account & profile: first name, email, timezone, country, learning goals/motivation, English level (CEFR), optional bio/notes (e.g., for trials), avatar URL.
• Lesson & progress: bookings (stored in UTC), credits/pack usage, lesson history, summaries and insights (Learning Tree, Growth Guide), vocabulary/idioms (Word Bloom & Sprout Play), progress stats (e.g., talk time).
• Transcripts: we maintain a transcript per lesson to generate feedback and learning tools. We do not store your Zoom video/audio.
• Payments: payment intent/result IDs, pack details, and logs. Card data is processed by Stripe/PayPal/Apple Pay/Google Pay — not stored on our servers.
• Technical: device/browser info, essential cookies and localStorage for login continuity, timezone, and UI preferences.
• Support/messages: messages sent to James or via Seedle.

3) How we use your data

• Deliver, personalise, and improve lessons and the Student Space (Learning Tree, Progress Compass, Word Bloom, Sprout Play, Growth Guide).
• Schedule/reschedule lessons, manage credits, and send confirmations/reminders.
• Process payments and maintain lawful records.
• Provide support, ensure security, prevent fraud, and fix issues.
• Send occasional feature updates only if you opt in.

4) Legal bases (where applicable)

• Contract: delivering lessons, bookings, credits, and core platform features.
• Legitimate interests: service improvement, security, basic analytics, and support.
• Consent: optional updates and certain cookies (if/when used).
• Legal obligation: tax, audit, and payment recordkeeping.

5) Third-party providers

• Stripe / PayPal / Apple Pay / Google Pay: payment processing.
• Google Calendar: availability and scheduling.
• Zoom: video lessons (we don’t store your video/audio).
• Krisp AI (current): supports transcripts/insights generation. We may migrate to Zoom SDK for in-house transcripts.

These providers process data under their own privacy policies.

6) Cookies & local storage

We use essential cookies/localStorage for login state, timezone, and UI preferences. We don’t use advertising cookies. If we add analytics cookies in future, we’ll update this policy and request consent where required.

7) Retention

• Account & learning history: kept while your account remains active, so your progress stays intact.
• Payment records: kept as required by law.
• Support/messages: kept for quality and history; removed upon verified request where feasible.

8) Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, or port your data, and to object to certain processing. To exercise these rights, email emrysrowles@outlook.com. We may need to verify your identity.

9) Children

Our services are intended for users aged 13+. If you believe a child provided data without consent, contact us and we’ll take appropriate action.

10) International transfers

We may process data on servers outside your country. Where required, we use appropriate safeguards (e.g., Standard Contractual Clauses).

11) Security

We apply reasonable technical and organisational measures (encryption in transit, access controls, tokenised payments). No system is perfectly secure; we continuously improve safeguards.

12) Automated decision-making

We do not use automated decision-making producing legal or similarly significant effects. AI features (Seedle) summarise and support learning — not eligibility decisions.

13) Changes to this policy

We’ll post updates here and adjust the “Last updated” date. Significant changes may be announced via email or in-app notice.
